1. Content Management Committee, Ref: (CMC)

Content Management committee is the main responsible for website updates, forms, applications and publication materials.

Sub-Teams and Responsibilities:

1. Moderator
a. Handle the communication with other committees.
b. Manage the different sub-teams to achieve the required tasks.
c. Responsible for the timeline, on time delivery, resources management and quality of the work.
d. Share with the Treasure the budget needs.

2. Website Management
a. Understand the phases to prepare each phase’s requirements to upload it at the website.
b. Follow up the news of us regularly to update it on the website news.
c. Communicate and coordinate with the website administrator to upload the changes on the website.


3. Graphics and Multimedia
a. Design our templates for documents, certificates, presentations…etc.
b. Design website pages templates, banners and flash.
c. Collect all photos and videos for all of our events for future use in cooperation with other committees.
d. Design our Video and CDs


4. Quality Management
a. Translation and Contents Structure Management of all Documents
b. Revision and logos assurance of all Documents
c. Revise and ensure that all published material follows our Quality Standards.
d. Ensure that all designs for us (created by Graphics and Multimedia sub-team) are following a general theme.
e. Communicate with all contents management committee sub-teams

5. Contents Creation
a. Booklet and Annual Reports
b. Events Materials: Prepare the materials needs for any publications as an organized content and send them to the publication Committee.
c. Prepare our applications: Forms, templates, reports and judging forms.
d. Prepare all materials needed from the associated committees.
e. Communicate with other committees to get information required for certain task.


Tools needed (Provided or can be developed by you)

1. Report’s template, forms, guidelines .
2. Minutes of Meeting (MOM) form.
3. E-mail bases communication between the associated committees .
4. Voice Chat meeting with the associated committees ( bonus ).
5. Digital camera and Video-CAM.
6. Our Full plan ( when available ).

Skills needed:

1. Awareness of our Vision and mission .
2. Excellent writing and word processing skills.
3. Report skills.
4. Excellent communication skills
5. Revising English and Arabic language contents skills.
6. Email regular user.
7. Patience
8. Working under pressure
9. Self organized
10. Creative thinking and creativity
11. Analysis skills


2. Website Administration and Development Committee, Ref: (WADC)

Sub-teams and Responsibilities

1. Moderator
a. Interacting with other committees.
b. Managing different sub-teams and following up with each member plan & assist executing it.
c. Communicate with faculties' website team and all external parties.
d. Website and mail server admin.
e. Share with the Treasure the budget needs.

2. Website Administrator
a. Create new pages.
b. Delete pages.
c. Add/Remove news.
d. Modify contents of the website pages.
e. Receive News from Content Management Committee and put it on the website.

3. Website Development
a. Exploring what Open source framework can do.
b. Collecting requirements.
c. Build the DB of the System.
d. Make queries of the DB.
e. Decide the hierarchy of the website and what to be added in each page.
f. Add components in the website either for private or public usage(menu item, forums, online registration, status update ...etc)

Tools needed (Provided or can be developed by you)

1. Administrator privileges
2. Open Source tools for development ( if available ) .

Skills needed:

1. Awareness of our Vision and mission.
2. Strong knowledge of computer and internet.
3. Strong knowledge of database and programming .
4. Email and voice-chat regular user.
5. Excellent listener.
6. Excellent paper work and word processing software skills.
3. Marketing and Media Committee, Ref: (MMC)

Sub-teams and Responsibilities

1. Moderator
a. Interacting with other committees.
b. Following up with each member plan & assist executing it.
c. Prepare Brochures, Posters for competition in cooperation with Publication Committee.
d. Prepare marketing & media reports for website.
e. Prepare Movie file about us, our goals, and achievements in cooperation with Contents Management Committee.
f. Share with the Treasure the budget needs.


2. Conferences & Media coordinator
a. Monitor all important events (global, local (faculties, organizations)) and promote for us in the suitable ones (Session, booth …etc)
b. Promote for us through TV/Radio/Newspapers by articles, interviews,meetings,…etc ( in the future ).
c. Advertisement space offer on TV, Radio, Magazine, Newspaper, websites ( in the future ) .


3. Faculties Awareness Coordinator
a. Prepare awareness plan for all Engineering, FCI faculties, and other faculties in Fayoum University and then in whole Egypt.
b. Coordinate with local contacts to hold lecture in all faculties.
c. Coordinate sending posters and brochures to all faculties in cooperation with Publication Committee.


4. Online Awareness Coordinator
a. Prepare online awareness plan for us .
b. Coordinate with Moderator and prepare online announcement about us in cooperation with Contents Management Committee.
c. Coordinate with general and faculties’ awareness coordinator to send online invitation to their contacts.

5. General Awareness Coordinator
a. Prepare awareness plan for us in all places other than universities such as Research institutes, Engineering syndicate, related organizations...etc.




Tools needed (Provided or can be developed by you)

1. Contacts at different places – physical and online – to facilitate the mission.
2. Announcement Presentations.

Skills needed:

1. Awareness of the our Vision and mission.
2. V.I.P communication ability.
3. Email and voice-chat regular user (preferred ).
4. Excellent communication and coordination skills.
5. Excellent listener.
6. Excellent paper work and word processing software skills.
4. Publications Committee. Ref: (PC)

Publications committee is responsible to handle all communication with all printed and promotional materials.

Responsibilities

1. Deal with publicity issues.
2. Be a ware and understand the objective of any printing task.
3. Evolve orders for printing required objects, follow this order processes, and receive the output of that order.
4. Hold meeting with the printer man in order to transfer the image of the tasks to him.
5. Keep track of all printed and promotional materials.
6. Deliver printed objects to concerned committees.
7. Share with the Treasure the budget needs.

Skills needed:

1. Awareness of our Vision and mission.
2. Very high availability to complete urgent tasks.
3. Ability to handle continuous follow up with the printer office.
4. Excellent communication skills.
5. Excellent negotiation skills.
6. Good listening skills.
5. MIE Secretary. Ref: (MS)

Secretary is the connection point between all committees and Chair.

Responsibilities

1. Announcing meetings and preparing/organizing it.
2. Attending Committee meetings and writing and sending MoM to all members.
3. Responsible for our mail & answering mails.
4. Keeping all members updated with all of our news.
5. Follow up all running activities and collecting status reports from different committees to give it to chair.

Skills needed:

1. Awareness of our Vision and mission.
2. Very high availability by online/phone to reach all organizers smoothly.
3. Ability to handle continuous follow up with the committees.
4. Excellent communication skills.
5. Good listening skills.
6. Fundraising Committee. Ref: (FRC)

Fundraising Committee is responsible of making the sponsorship package and initiating all fund raising activities required to fulfill the needs of us.

Responsibilities

1. Prepare the sponsorship package in cooperation with chair.
2. Initiating contacts with targeted companies for fund raising.
3. Share with the Treasure the budget needs.

Skills needed:

1. Awareness of our Vision and mission.
2. Organized.
3. Excellent VIP communication skills.
4. Ability to handle continuous follow up with the companies.
5. Very high availability by online/phone.
7. MIE Treasure. Ref: (MT)

Treasure is responsible of making the annual budget plan for us.

Responsibilities

1. Make annual budget plan for us in cooperation with different committees' moderators.
2. Make sure that the committees are following the expected expenditure and getting reasonable offers for them.

Skills needed:

1. Awareness of our Vision and mission.
2. Online availability.
3. Organized.
4. Frugal

8. Public Relations Committee. Ref: (PRC)

Public Relations Committee is mainly responsible of dealing with Press and VIPs and maintaining active relations with them.

9. Human Resources Committee. Ref: (HRC)

Human Resources Committee is mainly responsible of adding and orienting new human resources to us.
